This website is managed by the EU-Japan Centre for Industrial Cooperation (“We”). This privacy policy explains how we use any personal information we collect about you when you use this website. We have two offices – in Japan and in Belgium – depending upon the activity, your personal information may be shared between the offices and stored electronically and/or on paper. The EU’s General Data Protection Regulation (“GDPR”) protects your personal data.

If we do want to collect personally identifiable information (“personal data”) about a “data subject” (you) through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it. We only collect personal information about you when you voluntarily complete a web-form to apply for a place on one of our activities or to provide feedback or ask a question.

How will we use the information about you?

Where you have applied for place on one of our activities, the information you submitted will be used to assess and your application for a place on our activity and to help organise your participation:

  • Where the activity involves a visit to a company in the EU we will share your basic details (name, job title, company name and url) with the host company to check that they agree to your participation.
  • If your application for a place on an activity is successful, we would like to be able to share additional information about you to your fellow participants. We will contact you in advance of the sharing of any data, to check you agree to this.
  • Where you complete an event/webinar webform either to register as an attendee or to submit documents as a speaker, we will use the information and any documents you provide to process your participation in the event/series of events.
  • Where you download from this website, complete and submit by email, a form (e.g. in Word format) to register for an activity in Europe or Japan, we will use the information you provide to assess your eligibility for the activity and to determine whether you can be allocated a place on the activity, and – if so – to process your participation in the activity. The Centre takes out basic insurance cover with AVI International Assurance (in France) for all eligible participants taking part in a course or mission in Japan. To this end, the Centre shares the date-of-birth, full name and place of residence for those participants who, at the time of the course, both reside in Europe and are aged 69 or under.
  • Where you complete a webform to request a publication or to be added to a mailing-list, we will use the information you provide to judge your eligibility and, where applicable, to process your inquiry and register your interest in receiving future publications/notifications.
  • Where you complete a webform to ask a question or register for a service, we will use the information you submit to understand the context of your question and to respond to it.

Sending you information on our courses, seminars, information services and other activities which may be of interest to you

We would like to be able to send you information about our other activities and services which we think may be of interest to you. If you have consented to receive marketing, you can opt out at a later date. At any time, you have the right to stop us contacting you for marketing purposes. If you no longer wish to be contacted for marketing purposes please email us.

Access to your information, corrections and complaints

You have the right to request a copy of the information we hold about you. If you would like a copy of some or all of your personal information please email us. We want to make sure that your personal information is accurate and up-to-date. You may ask us to correct or remove information you think is accurate or do not want us to retain. If you agree, we will try to deal with your request informally, for example by providing you with the specific information you need over the telephone.

Please inform us if you think that our collection or use of information is unfair, misleading or inappropriate. We would also welcome any suggestions for improving our procedures.

Should you be unhappy as to how an organisation treats your data, you can file a complaint with a Data Protection Authority.
